Intexim provides data entry services for organizations that want to outsource this process. We handle the capture, entry, and checking of information, then deliver the data in the format agreed with the client.
Depending on the project requirements, we can work directly in the client’s system through an approved remote connection, or prepare and deliver structured files ready for import or further processing.
Which activities can be outsourced?
Manual data entry and conversion
We capture and enter the agreed fields from printed documents, scans, images, PDF files, or other existing digital records.
Indexing and OCR correction
We apply the indexing rules agreed with the client and check OCR results. Where necessary, we correct the information by comparing it with the original document.
Data entry into systems and preparation of import files
Data can be entered directly into an application or system provided by the client. We can also prepare CSV, Excel, or other agreed structured formats for import.
Data checking and exception handling
We check information against the rules established for each project. These may include completing required fields, following specified formats, or comparing entered data with the source document.
Records that are incomplete, unclear, contradictory, or outside the project rules are flagged and sent to the staff designated by the client for clarification. In these situations, we do not interpret or change the information independently.
Support for recurring work and busy periods
Services can be adapted for recurring document batches, backlogs, periods of high volume, or one-off projects with an agreed scope.
At the start, we agree the initial project scope, access method, delivery format, and checking stages with the client. We then refine and document detailed field definitions and working rules together as new situations arise.
For services focused on specific document types, see our pages on invoice data entry in ERP systems and document data entry.
Frequently asked questions
What information is useful when starting a project?
A few representative documents or files and an initial description of the desired result help us understand the project. A fully defined process is not required: we can progressively clarify the fields, relevant examples, working rules, and delivery format with the client.
Can you work directly in our system?
Yes. We can work directly in the client’s system when approved remote access, the necessary user permissions, and operating instructions are provided.
How do you check the accuracy of entered data?
We apply the checking rules agreed with the client. Situations that cannot be resolved using those rules are recorded and sent to the staff designated by the client for a decision.
In which formats can the data be delivered?
Data can be entered directly in the client’s system or delivered as a structured file, such as CSV or Excel. The format is agreed based on how the information will be used in the next stage.
